The Events Coordinator strives to provide exceptional experiences, communication and memories for Members and their guests prior to, during, and after their event. This role assists in event production from planning and execution of Club and private member events.

Day-to-day tasks focus on both administrative and creative responsibilities to grow private event business. Respond to incoming private member event opportunities and assist in creating Banquet Event Orders detailing staffing, menus, and vendors. Update weekly Coordination Overviews via Slack and shared apps for clear team communication.

Support the Events Manager with vendor quotes for furniture, rentals, photographers, music, flowers, A/V, and decorations. Design and print dedicated menus, create vision boards, and handle proposals for private events. Communicate with internal teams and external vendors while tracking invoices and managing Banquet storage.

Assist with event set up and break down following a first in, last out philosophy. Help Member Services in daily operations when no events are scheduled and maintain inventory counts monthly. Track Club events in the Pacesetter Member app and Weekly Newsletter for accurate member information.

Requirements

  • Two (2) years' experience within the Hospitality Industry or Events space
  • College Degree in Management, Marketing, Hospitality or similar field preferred
  • Previous experience in a luxury hospitality or private club environment preferred
  • Positive attitude, professional demeanor, and exceptional communication and interpersonal skills
  • Must be able to work flexible work hours including evenings, weekends, and holidays
  • Ability to work in a team environment
  • Ability to stay calm and focused during the busiest of times
  • Ability to read, write, speak, and understand English; additional languages preferred

Responsibilities

  • Respond to incoming private member event opportunities for the Club including private member events and Club events
  • Assist in creating Banquet Event Orders (BEOs) for events detailing staffing, menus, vendors, etc. and ensure signed by member
  • Update weekly Coordination Overview circulated at meetings via Slack and shared with HR for team awareness
  • Design, maintain, and print menus for all events requiring dedicated menus
  • Request and quote vendor pricing for Club and private events including furniture, rentals, photographer, music, flowers, A/V
  • Support Events Manager with communication to internal team members and external vendors
  • Assist Events Manager with vision boards and proposals for private member events
  • Support set up and break down of events with first in, last out philosophy
